Position Summary:

Edgewell is seeking an experienced Executive Administrative Assistant based in Shelton, CT. This position will be responsible for performing a variety of administrative duties in support of the Legal and HR department. The ideal candidate will be a self-starter able to work effectively, both independently and in a team environment, be able to manage multiple priorities and have strong organizational skills. The highest attention to detail and quality, as well as professionalism, are required for this position.

Accountabilities

  • Prioritize and execute tasks (many deadline driven) with minimal direction and supervision.

  • Provide a positive presence and excellent support with answering and prioritizing telephone calls, responding to email and mail communication, and meeting in person, general administrative duties such as filing, document formatting, document conversions and comparisons, printouts, photocopying, scanning, creating binders, mailings, etc.

  • Close liaison/cooperation with other global teams.

  • Interface with all colleagues, internal/external customers and vendors.

  • Ensure smooth and efficient flow of day-to-day operations.

  • Complete and submit expense reports for reimbursement, and reconcile credit card statements.

  • Coordinate Meetings: Ensuring meeting requirements are met, demonstrating knowledge about the Company’s meeting collaboration tools (MS Lync, video-conferencing, conference calling) & following up after meetings for action items. Prepare agendas and arrange meeting logistics, both on- and off-site.

  • Handle calendar and schedule, managing competing demands.

  • Manage travel arrangements including air, hotel, ground transportation, directions, and all other travel logistics as required.

  • Preliminary drafting and editing of letters, memoranda, presentations, and contracts; proofread; copy and distribute documents.

  • Receive, screen and place telephone calls. Maintain computer contacts.

  • Coordinate the renewal of CLE credits/bar memberships and provide frequent status updates.

  • Order and maintain office supplies.

  • Create and maintain files in accordance with the Legal Department file procedures (both paper and digital files).

  • Handle outgoing mail; read and route incoming mail: open, sort, respond and disseminate to appropriate parties when necessary

  • Assist members of the Legal and HR department with ad-hoc projects.

  • Responsible for the coordination for team members new hire onboarding including requests for hardware, system access, credit card application, and coordination with HR on the orientation.

  • Regularly handle critical and highly sensitive and confidential matters.

  • Work independently and take initiative to handle long- and short-term projects.

  • Support on general compliance and corporate governance matters for the Company’s domestic and international subsidiaries, including obtaining notarizations, apostilles, formation documents, certified copies, corporate filings, and other corporate documents.

  • Support corporate secretary function with governance and other corporate matters, including support and coordination of Board and committee meetings (both with internal stakeholders and with Board members).

Required Education, Skills and Experience

  • Minimum of 5 years of administrative experience required

  • Legal administrative assistant experience preferred

  • Bachelor’s degree or equivalent experience

Desirable Education, Skills and Experience

  • Highly proficient with Microsoft Office Suite (particularly Outlook, MS Word, EXCEL, PowerPoint, charts). Ability to learn and use additional software systems required.

  • Ability to maintain highest level of confidentiality

  • Excellent written and verbal communication skills

  • Knowledge of standard office administrative practices and procedures

  • Demonstrates initiative and is proactive – able to work independently, anticipate needs, and be forward thinking

  • Strong attention to detail and analytic skills

  • Outstanding organizational skills and ability to meet deadlines

  • Exceptional time management skills and prioritization skills

  • Ability to perform tasks quickly and simultaneously under the pressure of deadlines

  • Strong problem solving and follow up skills

  • Strong interpersonal skills; ability to establish and build partnerships with all levels of Legal and business partners

  • Reports to Chief People & Legal Officer

The salary range for this position is $64,000 - $96,000. The actual base salary offered to a candidate may vary based upon factors including, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location. In addition to base salary, the competitive compensation package may include, depending on the role, participation in an incentive program linked to performance.
